According to Fred, guests should send a short but polite email requesting an upgrade 24-48 hours prior to scheduled check-in.

When sending an email to a hotel, please contact the front desk manager or guest service team. Typically, contact details can be found on the hotel's website or by calling the main phone number.
Fred said, “We'll start by mentioning the booking confirmation number and the check-in date. We then explain that we are celebrating a special occasion, whether it's an anniversary, birthday or honeymoon, and politely ask if a free room upgrade is available.”

They shared: “If everything else fails, you can always ask about the upgrade at check-in. If something is available, a little kindness and a smile may get the upgrade, or the hotel may offer a pay upgrade with a discount if you ask a question.”
